4 steps to delegate tasks effectively

Delegating tasks means making the best use of time.

A good leader must be clear that he cannot take care of all activities. That is why it is important to know how to delegate tasks effectively. Taking charge of a specific company or department is a great responsibility.

On a daily basis, various activities will arise that must be carried out to contribute to the development of your business. However, even if you receive the corresponding requests, you must decide to whom to assign each one. While your level of experience and knowledge has led to your current position, you cannot take care of everything.

Delegating tasks implies making the best use of a team's time and skills to achieve the Company's objectives. In addition, it allows each of its employees to develop professionally by facing new challenges that encourage them to give their full potential. Both benefits of delegation fall within the spectrum of action that every good leader should always contemplate as part of their administrative routine.

Larry Bossidy and Ram Chanram, authors of the book Execution: The Discipline of Getting Things Done, identify that most leaders fall into two main management errors: they control the operation so much that they suffocate their employees or give their team too much freedom to perform your tasks. In both cases, apart from promoting the inefficiency of processes, they limit the development of the capacities of the people in their charge because there is no adequate delegation.

To avoid that any of these scenarios form part of your daily dynamics in the Company, put into practice the following 4 steps to effectively delegate tasks:

1. Identify the activity to be carried out and choose the employee who will be in charge:

As soon as you are clear about the specifics of the task at hand, think about the members of your team who might be in charge of it. Depending on the importance and difficulty of the activity, identify the essential aspects that the assigned person must have regarding their level of experience, knowledge and skills. Also take into account the current workload of your candidates and whether they have the necessary resources to perform their job optimally.

2. Briefly explain to the assignee the objectives of the task:

Once you have selected who will execute the activity from start to finish, take the time to explain in detail what it consists of, what are the minimum objectives that must be met and when the delivery of the final product must take place. No matter how many years you have worked with your employee, always let them know that they can reach out to you if problems occur, questions arise, or simply require their guidance through the process.

3. Find the right balance between follow-through and freedom of action:

It is up to you and your employee to complete the task successfully, but this does not mean that you have to supervise it at all times. You have many other tasks to attend to apart from this one, that is why you have delegated it; however, it should also include review and advisory periods. Give the assignee enough space to use his skills to the fullest, while still supporting him during the execution of the job.

4. Thoroughly review the final product received:

Ask your subordinate that the final product of the assignment is complete and meets the minimum quality standards. If not, the process will be delayed or you may even have to terminate it. When you receive the result of your employee's work, please allow enough time to review it and, if necessary, send it to correction before making the official delivery. Do not forget to recognize the work of excellence to promote the self-confidence and efficiency of your people.
